Abstract

ABSTRACT

The Faculty of Science and Technology (Saintek) at Universitas Merangin still manages its correspondence manually using physical documents and agenda books, which often causes delayed dispositions, difficulty tracing archives, and disorganized administrative documentation. This study aims to design and build a web-based Correspondence Information System as a digitalization solution for administrative correspondence at the Faculty of Science and Technology, developed following the System Development Life Cycle (SDLC) using the Waterfall model, covering requirement analysis, system design, implementation (coding), testing, and maintenance. The system was built using the Laravel Framework, PHP, MySQL, AJAX, and Bootstrap, secured with HTTPS and JWT authentication. System requirements were modeled using Unified Modeling Language (UML) involving three actors, namely Admin, Pimpinan (Leadership), and Staff, with core features including incoming and outgoing letter management, digital disposition, user data management, global search, activity logs, a statistical dashboard, automatic notifications, and PDF report printing.

Functional testing using the Black Box Testing method covered seven core features across 26 test scenarios, all of which were declared “Successful” with no functional errors found. With these results, the web-based correspondence information system is expected to accelerate the archiving process, ease letter searches, and improve the efficiency, transparency, and accuracy of correspondence administration management at the Faculty of Science and Technology, Universitas Merangin.
